Administration Assistant

 

  • $70,885.00 per annum + superannuation
  • Full-Time, fixed term position until 10/3/2025 (parental leave)
  • Geelong based position (Hybrid working model – three days in the office per week)

About the role

This role is an administrative support function to the Health, Safety and Wellbeing team within People and Culture. The core day to day functions will be to offer administrative support to the HSW team such as setting up for meetings, managing email communications, taking minutes, managing finance inputs and payments to suppliers.

Key accountabilities

  • Autonomously triage all incoming communications to generic email addresses for HSW.
  • Manage Oracle financial inputs and auditing of HSW activities for budget alignment.
  • Accountable for creating and capturing accurate and complete records of the business activities related to this position, in accordance with approved policy and procedures. This is applicable to both hardcopy and electronic information, including email.
  • Build and maintain effective working relationships with key internal stakeholders to support HSW initiatives across the organisation.
  • Facilitate administration of stakeholder meetings, workshops and forums to support the HSW team. This includes the facilitation of online webinars and other virtual offerings.
  • Coordinate collation of Board and Committee reports, proof drafts, ensure layouts are correct and prepare for leadership finalisation in a timely manner.

Skills and experience

  • Demonstrated ability to work autonomously and be self-motivated to consider administrative needs of a team
  • Demonstrated proficiency in MS Office (Word, Excel and Outlook)
  • Demonstrated experience in communicating with others to promote projects
  • Proven ability to self-organise and exhibit initiative to manage workload
  • Basic ability to manage financial accounts, including proficiency in a Finance System
  • Experience in the utilisation of online learning management systems and the intranet

Qualifications

  • Qualification and/or relevant experience in a similar administration role
